Privacy notice

Details of data you will be sharing with LinkedIn, where it will be stored and how it may be used.

About this Privacy Notice

LinkedIn Learning is a third party online learning service that provides access to a large range of courses and tutorials taught by industry experts in categories including information technology, creative and business skills.

The University of Essex provides access to the LinkedIn Learning platform to all staff and students on an optional basis.

This Privacy Notice refers to the personal data which the University of Essex, as the data controller, will share with LinkedIn Learning, the data processor, in order to provide staff and service.

Data shared with LinkedIn Learning

When you create your LinkedIn Learning account and log in using SSO (single sign-on), your Essex user name and affiliation (e.g. 'staff', 'student') are shared by the University with the LinkedIn Corporation. This is the minimum data required to securely access the service.

Types of user data accessible to LinkedIn Learning will include:

  • Learning user information (may include user ID, unique ID, name, email address).
  • Essex email address and password (LinkedIn Learning uses SSO [single sign-on]).
  • Product usage data (including learning activity, bookmarks, likes, notes and quiz results).
  • IP address, device/browser characteristics.

Data shared with the University

Types of user data accessible to University of Essex LinkedIn Learning administrators will include:

  • Learning activity, such as courses viewed or completed.
  • Usage data, such as when the user last logged on.

Users will be given the option to connect their LinkedIn Learning account with their personal LinkedIn profile – this can be revoked at any time.

If a user doesn’t connect their LinkedIn Learning profile, The University of Essex can access and retain the following information:

  • Learning activity, such as courses viewed or completed.
  • Usage data, such as when the user last logged into LinkedIn Learning.

If a user connects their LinkedIn Learning licence to their LinkedIn profile, the University of Essex can access and retain the following additional information.

  • Profile information, such as name, work title, and profile photo.
  • Any courses from their personal account that they’ve transferred to their group account.

User agreement

Before you use the service, you must accept the User Agreement through which you are agreeing to enter into a legally binding contract with LinkedIn. Your use of the service is also subject to LinkedIn's Cookie Policy and Privacy Policy which covers how they collect, use, share and store your personal information.

How your information will be used

Within the University this information may be used for aggregated analytics and reporting on uptake of the LinkedIn Learning service as this would be a legitimate interest for the University. We also use this aggregated data (most popular courses and topics) to identify where they may be a demand for training to inform our own in-house training programme.

If you activate a LinkedIn Learning licence, the University may from time to time recommend content to you.

For details about what the University and your LinkedIn network (if you link your Learning account with your personal LinkedIn profile) can and can't see about your learning history, view LinkedIn's Privacy Information for LinkedIn Learning Learners page. Linking your Learning account with your personal LinkedIn profile can be revoked at any time.

More information about the data LinkedIn collects about you and how it is used and shared can be found within LinkedIn's Privacy Policy.

Data storage

Your data is securely stored on LinkedIn servers and may be transferred to, and stored at, areas outside the European Economic Area. However, LinkedIn maintains GDPR compliance and has in place the Standard Contractual Clauses with all customers for whom personal data will be stored in the United States to ensure the protection of that personal data and the rights of data subjects.

Where the transfer will involve UK data transferring to the US, the UK ICO International Data Transfer Agreement will apply.

You can find out more about this in Other Important Information in the LinkedIn Privacy Policy.

LinkedIn uses industry recognised security practices such as password protection, data encryption, application security, physical security and secure networks to protect customers' information residing on the LinkedIn platform. Where data must be encrypted under applicable law, LinkedIn encrypts such data using an industry recognised encryption method.

Archiving and deleting accounts

For information on account archiving and deletion, see Your Choices & Obligations in the LinkedIn Privacy Policy.
