Please read our Terms and Conditions of Residence documents before accepting our offer of accommodation.

 

Special Offer Terms and Conditions

Returners Cashback Tiered Offer, November-January 2025

1. Eligibility

1.1. This offer is only available to October start students who will be studying full-time at the University of Essex during the 2025-2026 academic year.

1.2 Students cannot be entering the first year of study on their selected course. The only exception to this is Essex to Essex students who stayed with university owned or administrated accommodation in the academic year of 2024/25.

1.2. This is not available to students studying with the University of Essex International College, South Essex College, North West University or Students studying with Essex Online.

1.3. Applications for accommodation must be completed between 19th November 2024 and midnight on 31st January 2025 to qualify for cashback.

1.4 Students must obtain a full academic year accommodation contract with university-owned or managed accommodations.

2. Accommodation and Cashback Tiers

2.1. The cashback amount depends on the type of accommodation booked:

£100 Cashback

- South Towers

- North Towers

- Wolfson Court

£250 Cashback

- The Houses

£500 Cashback

- University Quays

- The Meadows Ensuite

£750 Cashback

- The Meadows Townhouses

- The Copse

2.2. Cashback is not available for bookings of studios or self-contained apartments in any area.

2.3 Cashback amount be will be based off the room you are living in at the point of the cashback being distributed in January 2026.

3. Payment of Cashback


3.1. The cashback payment will be made in January 2026, provided the applicant has successfully:

Moved into the accommodation.

Completed their first rent payment in full.

Does not have outstanding debt to the university.

3.2. The cashback will be credited to the applicant’s Student Account.

4. Previous Tenancy Obligations


4.1. If the applicant has previously held a tenancy or license agreement with the University, the obligation to grant a new tenancy is conditional upon the applicant having paid all outstanding sums due under prior agreements.

4.2. Applicants with unpaid debt from earlier contracts will be ineligible for this offer and will not be able to take up a new tenancy.

5. General Terms

5.1. This offer is valid only for university-owned or managed accommodations.

5.2. The offer is subject to availability and may be subject to change without prior notice. UECS reserves the right to amend or waive any of these Rules or cancel the competition at any time.

5.3 This offer is not available with any other offer except the Athlete Village package.

5.4 The winner of the win free accommodation competition will not be eligible for any cashback.

6. Data Protection


- 6.1. By participating in this offer, you consent to UECS processing your personal data for the purposes of administering the cashback payment.

Terms and Conditions for 'Win Free Accommodation' competition 

The University of Essex, ‘Win Free Accommodation’ competition is being held by University of Essex Campus Services (UECS).

The competition is open to those who are studying at the University of Essex, starting the academic year in October 2025. This is not open to students studying with the University of Essex International College, South Essex College, or Students studying with Essex Online.

If a student has outstanding debt to the University, they will be excluded from the prize draw.

The competition opens on Tuesday 19th November 2024. The competition will close at midnight GMT on Wednesday 1st October 2025. Any entries received after this date will not be eligible for a prize.

The prize may only be redeemed by students who have a tenancy agreement for a university owned or administered room on a full academic year contract.

The prize value is the equivalent 2025/26 rent cost associated with staying in a South Courts - single ensuite room on a 39-week tenancy to the sum of £7,717.71. If the winner is not staying in South Courts, but still in university owned or administered accommodation, £7,717.71 will be discounted from the alternative accommodation. No cash value will be given should the winner choose to stay in alternative that is less than £7,717.71.

Winners will be chosen at the discretion of UECS. The winner will be notified via email after an announcement on Wednesday 22nd October 2025.

The winner will be requested to take part in any prize promotional activity and UECS reserves the right to use the name and location of the winner, their photograph, audio and/or visual recording of them in relation to any competition publicity or for UECS marketing purposes. By entering this competition, you agree that if awarded the prize you will co-operate with all reasonable publicity purposes if so requested. The prize may be withdrawn if the winner does not participate in these promotions.

This prize is non-transferable and may only be redeemed by the winner selected by UECS.

UECS’s decision will be final and binding, and no correspondence or discussion will be entered into regarding the conduct or outcome of the competition.

The winner will not be eligible to claim any other University of Essex discount or incentive towards their accommodation.

UECS’s reserves the right in its reasonable discretion:

- To disqualify any competitor whose conduct is in breach of the Rules or contrary to the spirit of the Rules or the intention of the competition.

- To declare any entries void.

By entering this competition, you agree that UECS shall have no liability for any printing, production and/or distribution errors (including but not limited to any errors in UoE, this website or any printed materials) or where there have been any errors in any aspect of the preparation for or conduct of the competition materially affecting the result of the competition.

Subject to Condition 7 above, any personal data submitted by you in your entry to this competition will be used solely in accordance with current UK data protection legislation and UoE's privacy policy.

UECS reserves the right to amend or waive any of these Rules or cancel the competition at any time.

No refund will be given if the prize winner withdraws from the University or cancels their accommodation contract, or if the University enforces eviction proceedings under their rights as outlined within the tenancy agreement.

Refer-a-friend, October start, £100 cashback offer, August-October 2024

If you have an accepted offer of campus accommodation for academic year 2024/25, you can refer a friend to stay with us and both earn £100 cashback! Simply send our referral form to your friend to complete and we’ll do the rest. We will send you a link to the form once you have accepted your offer. Please note, the person referred cannot already have accepted an accommodation contract for 2024-25.

Offer available to Postgraduate or returning Postgraduate and Undergraduate students only. Offer not available to new undergraduate students. Applications must be completed between 1 August 2024 and midnight GMT on Wednesday 2 October 2024 and must be the first and only accommodation application for the 2024/25 academic year. The payment will be made in January 2025, following the applicant successfully moving in and completing the first rent payment. The £100 payment will be sent to the applicants Student account. If you have previously held a tenancy or licence agreement with the University, our obligation to grant you the tenancy described in your Offer will be conditional on you having paid all sums due to the University under your previous tenancy or licence agreements. You will not be able to take up a new tenancy if you have unpaid debt from an earlier contract. This offer is only available to students who will be studying at the University full time in 2024-2025, and applied to accommodation, owned, or managed by the University. Offer subject to change and availability.

Postgraduate double and twin room offer, August-October 2024

Double room only available for double occupancy, however, contract is only held by one person. Should any financial agreement be made between the two occupants, then the University would not take any involvement or liability for this arrangement. The contract holder would be wholly responsible for the rent as part of the tenancy agreement. Students are welcome to ask a friend or relative to live with them and they can be a student or non-student.

Twin room offers are only available to new postgraduate accommodation applications received from 6 August 2024. Twin rooms include two occupants on individual room contracts. Each student is responsible for the rent for their contractual agreement for the room. New occupants can be added by Accommodation Essex at any time, should a student withdraw or intermit from the University. Rooms are single gender only. Students are welcome to apply to live with a friend or relative who is also a student.

Extended Returning October start, £400 cashback offer, May-August 2024

Offer not available to new students. Applications must be completed between 1 February 2024 and midnight on 1 August 2024 to be eligible to the cashback offer. The payment will be made in January 2025, following the applicant successfully moving in and completing the first rent payment. The £400 payment will be sent to the applicants Student account. If you have previously held a tenancy or licence agreement with the University, our obligation to grant you the tenancy described in your Offer will be conditional on you having paid all sums due to the University under your previous tenancy or licence agreements. You will not be able to take up a new tenancy if you have unpaid debt from an earlier contract. This offer is only available to students who will be studying at the University full time in 2024-2025, and applied to accommodation, owned, or managed by the University. Offer subject to change and availability. This offer has been increased from £200 cashback, if you wish to read the previous terms and conditions before upgrade please email ecscomms@essex.ac.uk.

£200 cashback, February-April 2024

Returning October start undergraduate and postgraduate £200 cashback offer

Offer not available to new students. Applications must be completed between 1 February 2024 and midnight on 30 April 2024 to be eligible to the cashback offer. The payment will be made in January 2025, following the applicant successfully moving in and completing the first rent payment. The £200 payment will be sent to the applicants Student account. If you have previously held a tenancy or licence agreement with the University, our obligation to grant you the tenancy described in your Offer will be conditional on you having paid all sums due to the University under your previous tenancy or licence agreements. You will not be able to take up a new tenancy if you have unpaid debt from an earlier contract. This offer is only available to students who will be studying at the University full time in 2024-2025, and applied to accommodation, owned, or managed by the University. Offer subject to change and availability.

£400 cashback offer, November 2023-January 2024

Offer not available to new students. Applications must be completed between 14 November 2023 and midnight on 31 January 2024 to be eligible to the cashback offer. The payment will be made in January 2025, following the applicant successfully moving in and completing the first rent payment. The £400 payment will be sent to the applicants Student account. If you have previously held a tenancy or licence agreement with the University, our obligation to grant you the tenancy described in your Offer will be conditional on you having paid all sums due to the University under your previous tenancy or licence agreements. You will not be able to take up a new tenancy if you have unpaid debt from an earlier contract. This offer is only available to students who will be studying at the University full time in 2024-2025, and applied to accommodation, owned, or managed by the University. Essex2Essex £400 cashback offer

Offer available for Essex2Essex postgraduates only. Applications for 2024-25 accommodation must be completed before midnight on 1 August 2024 to be eligible to the cashback offer. The payment will be made in January 2025, following the applicant successfully moving in and completing the first rent payment. The £400 payment will be sent to the applicants Student account. If you have previously held a tenancy or licence agreement with the University, our obligation to grant you the tenancy described in your Offer will be conditional on you having paid all sums due to the University under your previous tenancy or licence agreements. You will not be able to take up a new tenancy if you have unpaid debt from an earlier contract. This offer is only available to students who will be studying at the University full time in 2024-2025, and applied to accommodation, owned, or managed by the University. Third Party policy

The third party policy sets out the University's position regarding contact with third parties in connection with students registered at the University.

The University of Essex has a notification under the terms of the Data Protection Act 1998 (GDPR) to enable it to hold and process data about its students and landlords for the purposes of providing accommodation for its students. Data will be processed in accordance with the provisions of the Act and will only be disclosed within the University to members of staff who need to know it in order to carry out their duties, or to others connected with the University for University-related activities or events.

The University works in partnership with Derwent Living, ULiving, and Kaplan International Partnerships to provide campus accommodation. Information about students in accommodation is shared with Derwent, ULiving, and Kaplan International Partnerships as necessary in order to provide a consistent and efficient service to students.

Communications policy

Policy of Management of Accommodation Rent Debt
