We’ll be launching our new Purchase to Pay project later this month. Invoicing will go live on Monday 19 October and purchasing will go live on Wednesday 21 October. At the moment the service is only accessible through Internet Explorer or Microsoft Edge browsers. Access through Google Chrome will be added in November.

Purchasing

As part of the project, we’re introducing an ‘Amazon like’ ordering process known as a marketplace. This will go live with “punch outs” to Amazon for Business, Office Depot, Fisher Scientific, and Insight Direct. We’ll also have access to an electronic Screwfix catalogue. You’ll be able to access all of these websites directly through Unit4, which will make ordering easier and more efficient.

Because we’ll be providing access to Amazon for Business through the marketplace, separate teams will no longer need their own Amazon for Business or Amazon Prime accounts. The marketplace Amazon account will have the same next day delivery benefits as Amazon Prime and all Unit4 requisitioners will be able to make use of those benefits.

Amazon will be running some “how to” webinars on Monday 19 October and anyone wanting to take part should contact Catherine Jaques for access details.

Only designated purchasers are able to buy gift cards or vouchers and these will need to be paid for using a credit card. Please contact me to get access to this service.

Invoicing

It’s really important that everyone raises a purchase orders in Unit4 before buying any goods and services from a supplier. This purchase order number must be provided to the supplier when you order something from them and our suppliers know that a purchase order number is required before accepting an order from us.

All invoices will be sent by our suppliers to invoices@essex.ac.uk and centrally and uploaded onto Unit4 to make the workflow process paperless. If you receive an invoice by mistake, please check it has a purchase order number and then forward it to invoices@essex.ac.uk.

Bite size training videos, a simple user guide and FAQ’s are available on our Finance Sharepoint site.

Zoom lunchtime surgeries will also take place from 12 noon to 1pm from Thursday 22 October to Friday 30 October. Please email any questions in advance to Catherine Jaques.

An Amazon Webinar training session will take place on Monday, 19 October at 2.30pm.
